About Position
The Procurement Coordinator is responsible for managing and executing procurement activities to ensure timely, cost-effective, and compliant acquisition of goods and services. This role supports organizational operations by coordinating with various departments, sourcing reliable vendors, negotiating favorable terms, and maintaining procurement documentation. The ideal candidate will have a solid understanding of procurement processes, preferably within the NGO sector, and demonstrate strong negotiation, organizational, and analytical skills. This position plays a critical role in optimizing procurement efficiency while upholding transparency and accountability in line with internal policies and donor requirements.
Responsibilities :
Receive and Process Purchase Requests
· Collaborate with various departments to receive and review Purchase Request Forms.
· Ensure accuracy and completeness before initiating procurement steps.
Vendor Sourcing, Price Comparison, and Negotiation
· Conduct market research to identify qualified vendors. Compare prices, quality, and delivery timelines.
· Negotiate favorable terms to support cost efficiency and service quality.
Purchase Order (PO) Preparation and Compliance
· Prepare and issue Purchase Orders in accordance with internal policies.
· Ensure all procurement activities are aligned with approval procedures and compliance requirements.
Vendor Management and Long-Term Agreements
· Maintain an up-to-date vendor list and manage supplier performance.
· Develop and oversee Long-Term Agreements (LTAs) to support sustainable procurement strategies.
Procurement Documentation and Reporting
· Maintain accurate procurement records and documentation.
· Prepare periodic reports related to procurement activities, supplier evaluations, and cost-saving initiatives.Bottom of Form
Requirements
- Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
- Minimum 4-6 years of experience in procurement and purchasing. preferably within the non-profit or NGO sector.
- Experience in vendor management and supplier evaluation
- Strong negotiation and communication skills.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple procurement requests and prioritize effectively.
- Ability to conduct cost and budget analysis.
- Proficiency in Microsoft Office Suite (Excel, Word) and procurement systems or ERP tools is an advantage.
- Knowledge of procurement regulations and contract management is preferred.
- Strong analytical thinking and problem-solving capabilities.
- Demonstrated ability to work independently as well as in a team environment.

Job Summary
